Terms & conditions

I. IMPORTANT REMARKS

1. Transport costs

Air transport is charged per kilo (exceptionally by cubic meter for light & voluminous goods) and depends on the final destination. Basically, the higher total weight of the consignment it is, the lower rate you will pay. As a general rule freight prices decrease by levels as follows:

  • From 1 up to 44 KG
  • From 45 up to 99 KG
  • From 100 up to 499 KG
  • From 500 up to 999 KG
  • More than 1000 KG

Seaway transport is charged by container independently of weight and volume (in case of transport combined by both seaway and road, extra charges may be added for 20' container exceeding a total weight of 13500 KG). Accordingly, the more quantity you order, the cheaper price per kilo you will pay. Up to 29 cubic meters can be loaded in a 20' container and 58 c.m. for a normal 40' container.

2. Dry ice & gross weight

A payload of 6 KG dry ice for a small isothermic container and 40 KG for lager one will be added to the total gross weight of the goods. But the dry ice used for frozen items when packing will gradually turn into weightless gas during the transport. For that reason, a discrepancy of weight is noted on arrival.

3. Deposits for returnable empties

Concerning beers two different deposits are charged (returnable empties & bottle-rack). They are not included in the catalogue prices.

  • 0,10 € / empties of 25 & 33 CL bottles,
  • 0,20 € / empties of 37,5 & 75 CL bottles,
  • 5,00 € / empties of 6 liters kegs,
  • 30,00 € / empties of 20, 25, 30 & 50 liters kegs,
  • 2,10 € / bottle-racks of 24 bottles 25 or 33 CL.

When returning empties and bottle-racks to Belex you will be refunded of paid deposits.

4. Invoice

Our invoice is issued with all the charges and outlays to airport / port of destination (CPT/CFR or CIP/CIF), namely:

  1. Ordered items,
  2. Packing and packaging: boxes and isothermic containers + dry ice for frozen products,
  3. Transport costs including customs, administrative and delivery charges at airport,
  4. Insurance fees (if requested),
  5. Deposits for returnable empties of beer and wine,
  6. Delivery of Collishop items (see sales terms point n° 6).

5. Quotation request form

A pro forma invoice with all the charges to destination can be obtained by using the quotation resquest form. This document can be found in the catalogue page below the families of goods (in the bottom left-hand corner).

Attention : this involves that your order remains in ''stand by'' status till your confirmation of the offer. Pay attention on indicating an e-mail address where the quotation can be sent.

II. TERMS & CONDITIONS

1. PRICES

Prices are in €uro and out of taxes. Prices don't include the packaging, insurance, air/see freight, deposits and Collishop delivery charges. It is possible to request a pro forma invoice before ordering by using the the quotation request form.

Collishop: for the items from the Collishop catalogue see point n° 6.

Vegetables & Fruits: prices of the day will be invoiced for fresh vegetables & fruits and hence no quotation is given in this catalogue (upon request with the pro forma invoice).

2. HOW TO PAY?

Our payment terms are 7 days after the arrival of the goods at destination. Without any claim received within this period your credit card will be charged of the amount of invoice(s) if this way of payment has been chosen. Please watch over to clearly indicate on order form:

the name of the card holder,

the card number,

the expiry date,

the security code (thre digits at the back of the card).

Cards accepted: VISA - MASTER/EUROCARD - AMERICAN

3. TRANSPORT INSURANCE

To avoid any risk from goods travelling, we advise you to take out the insurance for your merchandises (see order form).
The insurance rate is 2% of the CIP value (goods + freight + insurance).

If your goods arrive at destination unsuitably, see point n° 4.

Attention: this insurance covers all the risks during the transport which means from the acceptance of the shipment by the airline/sealine company up to the delivery at port/airport of destination.
Are excluded :

  1. Damages caused by a late delivery due to strikes, conflicts or war at destination.
  2. Damages or thefts occured after the reception of the goods at the port/airport.

4. MISSING OR DAMAGED PARCEL(S) (only for insured goods)

In case of incident (robberies or damaged items) the indemnification is subordinated to some conditions dictated by our insurers. Please follow the procedure to be refunded.

Procedure:

  1. A certificate of missing or damaged goods must be established by the local agent of the airline company on arrival of the goods. This is the only evidence for your claim.
  2. Send us immediately this certificate with an explanation letter (pictures are welcome).
Your claim must be addressed to Belex within 6 days after the delivery of the goods. After this respite every claim will be unacceptable. Accordingly we recommend you to do it by e-mail or directly through our website (see CONTACT).
Remark:

If an item is invoiced but not delivered and the parcels have been received in good shape (not opened) do not follow the procedure. Inform us as soon as possible.

5. GUARANTEE

We can assure you a perfect reception if goods are picked-up immediately on arrival at the port/airport. As we are not working with stored goods we can always guarantee you a good freshness of our products.

6. CATALOGUE COLLISHOP

When opening our catalogue, you will be invite to also visit the Collishop catalogue.

This catalogue completes the "Window on Fine Food".

It contains the following familly items:

All these items can be ordered through the order form together with foodstuffs at the following terms:
  • Prices : prices stated are VAT included but you will be charged of export prices (21% tax deducted).
  • Delivery costs : items are delivered to Belex with transport costs. A fixed sum of 4 € per global order (one or several items) will be charged and 18 € when the following logo appears:
  • Shipment time : items must be ordered at least 7 days before the departure of the flight/vessel.
  • Guarantee : the terms of guarantee are those stated in Collishop's sales terms (see website) This guarantee is valid in Belgium only and does not cover the repatriation of the item.

III. ABOUT OUR SERVICES

1. EASINESS

In order to meet any kind of invoicing requirements we are able to provide you:

  • pro forma invoices with an accurate quotation up to destination (to be requested through the order form),
  • individual or global invoicing,
  • split invoicing (several customers under one name, one embassy, ...),
  • separate invoicing (several invoices for a single order).

2. PERFORMANCES

We can assure the shipment of your order within a maximum of 7 days after the booking of the flight and 21 days for a vessel.

Notice!

We are trading about 12500 items but our catalogue is not the full list of available items. Hence we accept orders of items not listed in our catalogue and will always do our best to meet customers' requests. You can benefit from a wide range of items to complete your foodtuffs orders, especially for sea-container, such as:
